Database fields

Once you setup a database, you will find many options for database fields to be incorporated into your database. These fields can be added when you create the database, or they can be added later by going to the database and selecting Options > Edit (under Database Actions) > Edit Existing Fields. Create new fields tab

By selecting the Create New Field tab, you will have the ability to name the field and to select a field type from the drop down menu. Each field type is unique. Below is a description of each field type to help you utilize and design your database structures.

Database Field Types


The listed Field Types are:

  • Text: Users are able to enter 55 characters of text on one line.
  • Text (Multiple Lines): Users are given a larger box to enter in multiple lines of text.
  • Numeric (no decimals): Users can enter in numeric values with commas but no decimals.
  • Numeric (no decimals or commas): Users can enter in numeric values with no decimals or commas.
  • Numeric (with decimals): Users are able to enter numeric values with decimals.
  • Currency: Users can enter in a predefined currency type set as the default within the field editor.
  • Currency (no decimals): Users can enter in a predefined currency type with no decimals.
  • Percent: Users are given field to enter in a percentage amount.
  • Date Only: Users are given field to enter in a chosen date
  • Yes/No - Checkbox: A simple checkbox for confirmations
  • Email Address: An active email address field
  • Phone Number: Field to format Phone Numbers
  • URL / Web Link: Displays a full clickable URL
  • URL / Web Short Link: Displays 'Click Here' representing a URL
  • Internal URL:  A linked field with the workspace url is added before any text entered here
  • Internal URL Short Link (Click Here): A workspace link displaying 'Click Here'
  • Multiple Choice - Drop Down List: Allows multiple line field converting to multiple choice
  • Multiple Choice - (Allow multiple selections):  Allow multiple line field converting to a multiple choice with more than one selected option
  • Proof Group (Allow multiple selections): Select an existing proof group
  • WYSIWYG Rich Text Editor: A full text editor field that opens up many possibilities in a single field
  • Image: A field allowing a single image upload
  • Database Relation: A link to another database. See more in our database relationships article.
  • Status (Pulls from Doc Status Options): Mimics the options available in the Document Status field
  • Internal Member: Select an Internal Member from your workspace
  • Workspace Member: Select any member of your workspace
  • Elapsed Time: Enter in a desired amount of time
  • Formula, Numeric (with Decimals): Allows math
  • Concatenated Text (BETA): Combines fields
